Accounts Receivable Software - A Part of The System

Cash flow is the life of any business, especially a small business. Accounts receivable software is a valuable tool for tracking the status of your customer information. Usually the accounts receivable function is built in to an integrated accounting system.

The accounts receivable function helps you maintain a record of all customer charges and payments. By noting customer history you can take any actions necessary to manage individual customer accounts. That means you can set individual customer credit limits or even offer discounts to customers all based on historical charge and payment history.

Accounting software is arranged in sections or modules. An accounts receivable software module will receive input from a point of sale system and any order entry function to calculate customer balances. If your system includes a job costing function, The job cost module will provide input to the accounts receivable software system and in turn will be modified by the accounts receivable system. Accounts receivable also ties to any bank reconciliation function.

The accounts receivable function finally will tie to the general ledger to show the receivable as a company asset.

Usually acccounts receivable software is an integral part of accounting software. The user wouldn't see it as separate software. It's just a part of the system. Sometimes, however, a separate accounts receivable module may be built or integrated with the other function. This would let the builder of the system tailor the accounts receivable software to perform just the specific functions required for a company. In this case the accounts receivable module is a custom fit for a unique situation.

As always, the most important step in designing or purchasing accounting software is looking at what your company really needs. Get a system that most closely matches your needs.

There are several suppliers that build accounting systems in modules. The user can purchase and use just the modules required so the system doesn't contain parts that aren't needed. That's a way to get a system that's like a custom system but built with modules that are proven and less expensive too.
